Per-Seat Billing Explained
How It Works
WeekdayApp uses per-seat billing, which means you pay for each active team member on your account.
Example: Starter Plan
- Base price: R199/user/month
- 3 team members = R597/month
- 5 team members = R995/month
Example: Professional Plan
- Base price: R349/user/month
- 3 team members = R1,047/month
- 5 team members = R1,745/month
Adding Team Members
When you add a new user mid-cycle, you'll be charged a prorated amount for the remaining days until your next billing date.
Removing Team Members
When you remove a user, your subscription automatically adjusts on the next billing cycle. No manual action needed.
Setting Up Billing Rates
Configure billing rates to accurately charge for your services. Rates can be set at company, user, client, or service level.

Rate Priority (Most Specific Wins)
When a timer is started or an invoice is generated, WeekdayApp automatically finds the most specific billing rate that applies. Rates are checked in priority order — the first match wins.

How Rates Are Applied
- 1Timer starts — The app looks up the best matching rate based on the selected client, task, and user.
- 2Rate is locked in — The resolved rate is saved with the timer so it won't change mid-session.
- 3Entry saved — When the timer stops, the hourly rate is written to the time entry.
- 4Billing calculated — Dashboards and invoices use (duration × hourly rate) for totals.
Rate Setup Tips
- Set a Company Default rate as a fallback so no time entry is ever unbilled.
- Use Client + User rates when a team member has a negotiated rate with a specific client.
- Override at the Task level for one-off fixed-price work or special engagements.
- Rates support effective date ranges, so you can schedule rate increases in advance.

Updating Your Payment Method

- 3You'll receive an email with a secure link to update your card

Frequently Asked Questions
What happens when my trial ends?
You'll be prompted to choose a paid plan. If you don't subscribe, your account will be limited to view-only access until you upgrade.
Can I change my plan at any time?
Yes! You can upgrade or downgrade your plan at any time from the billing settings. Changes take effect immediately for upgrades, or at the end of your billing cycle for downgrades.
How do I cancel my subscription?
Admins can cancel from Settings → Billing → Cancel Subscription. Your access continues until the end of your billing period.
What happens to my data if I cancel?
Your data is retained for 30 days after cancellation. You can reactivate your subscription during this period to regain full access.
Do unused page credits roll over?
Subscription credits reset monthly. Top-up credits never expire and are used after your monthly allowance is depleted.
Can I get a refund?
We offer a 14-day money-back guarantee for new subscriptions. Contact support@theweekdayapp.com for refund requests.
How do I get an invoice for my subscription?
Invoices are automatically sent to your email after each payment. You can also view and download them from Settings → Billing → Billing History.
